OFFICE ASSISTANT
JOB DESCRIPTION
Office Assistant works under the supervision of Admin. Asst.
Office Assistant must be able to respond to instruction and direction from all staff members. Entry level drafting skills are preferred. Office Assistant may be expected to perform basic drafting tasks and other project tasks that do not require expertise or specific knowledge but will be under the supervision of the architectural staff. Office Assistant must maintain a desire to represent the firm positively in all aspects of their work.
RESPONSIBILITIES
The Office Assistant will assist in the smooth running of the office.
Maintain general filing, tube files, flat files, box filing and CSI files.
Run errands as needed and drive company vehicle when available.
Empty trash and place trash receptacles at curb and retrieve,
answer incoming phone calls professionally,
make coffee,
research, preparing prints, purchasing and stocking supplies,
general office maintenance and clean-up as requested
and other tasks related to the business operations that may be determined necessary.
Must maintain Driver’s License in good standing and be able to safely
Drive either the company’s vehicle or private vehicle (depending upon availability) to various governing agencies, client’s location, or other work-related locals determined appropriate.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
• Telephone Etiquette
• Filing
• Errands
• General office maintenance
• Purchasing of all office supplies
• Entry level drafting
• Submitting documents and plans to various governing agencies (city, HOA, clients, County, etc.)
• Maintain confidentiality for/of all clientele, Projects and all business matters
QUALIFICATIONS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

Employee must have and maintain a valid California driver’s license in good standing and be able to safely operate a motor vehicle.
Education and/or Experience: Attending Jr. College or 4-year university pursuing a design career preferred.
Other qualifications may be considered if appropriate for the position.
